Sorter - Medical Records (US Healthcare)

The Sorter is responsible for reviewing, organizing, and categorizing incoming medical and legal documents for Record Review processing. This role ensures that records are properly identified, arranged in chronological order, and assigned to the correct document categories before further review and summarization. The position requires strong attention to detail, accuracy, and the ability to work within strict turnaround timelines.

Key Responsibilities

  • Review incoming records and accurately identify document types.
  • Sort and organize medical, legal, billing, and miscellaneous records into appropriate categories.
  • Arrange documents in strict chronological order based on dates of service.
  • Identify duplicate, missing, illegible, or improperly scanned records and escalate discrepancies appropriately.
  • Separate records by provider, facility, specialty, or report type as per client requirements and internal SOPs.
  • Ensure correct pagination, document sequencing, and file structure before forwarding records for review.
  • Verify document completeness and maintain accuracy throughout the sorting process.
  • Follow client-specific guidelines and departmental workflows consistently.
  • Maintain assigned productivity, quality, and turnaround time targets.
  • Coordinate with QC teams, reviewers, and Team Leads regarding unclear or mismatched records.
  • Handle confidential medical information in compliance with HIPAA and company policies.
  • Update workflow trackers and internal systems accurately.
Required Skills & Competencies
  • Strong knowledge of medical and legal document identification.
  • Excellent attention to detail and organizational skills.
  • Ability to handle large-volume records with high accuracy.
  • Good understanding of chronological sorting and document sequencing.
  • Familiarity with medical terminology and healthcare documentation.
  • Strong computer skills and proficiency in PDF/document handling tools.
  • Ability to work efficiently under strict deadlines and TAT requirements.
  • Strong communication and coordination skills.
  • Problem-solving ability with a process-oriented mindset.
Educational Qualification
  • Graduate in any discipline.
  • Medical, healthcare, life science, or related background preferred.
Experience Requirements
  • Minimum 3-4 years of experience in Record Review, Medical Records Processing, Document Sorting, or Healthcare Documentation.
  • Prior experience handling US medical/legal records preferred.
  • Experience in chronological sorting, indexing, and categorization of records is mandatory.
