We need an Accounts Payable Specialist to strengthen our financial operations by managing vendor payments, ensuring accurate invoice processing, and maintaining strong relationships with our global network of luxury designers and suppliers. This role is crucial in maintaining the financial integrity of our operations and supporting our continued growth in the luxury e-commerce space. The Impact you’ll make Invoice Management & Processing • Process and reconcile inventory invoices via 3-way matching in NetSuite • Upload and maintain incoming invoices with supporting documentation • Investigate and resolve quantity/price discrepancies between POs and deliveries Payment Processing & Reconciliation • Prepare payment runs using NetSuite and Transfermate • Process wire transfers and ACH transactions • Verify and reconcile vendor statements • Recover deposits from closed and quantity-changed line items Vendor Relations & Communication • Respond promptly to vendor inquiries • Resolve past-due invoice issues • Maintain professional communication with internal departments Financial Documentation & Reporting • Prepare and update internal AP spreadsheets and files • Assist with month-end close procedures • Support additional accounting department requirements as needed Skills, Knowledge and Expertise Required • Minimum 3 years of accounts payable experience • Proven experience with NetSuite or similar ERP systems • Strong proficiency in Microsoft Excel • Experience with payment processing systems • Background in invoice reconciliation and 3-way matching • WFH Set-Up • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up. • Internet speed of at least 40MBPS • Headset with an extended mic that has noise cancellation and a webcam • Back-up computer and internet connection • Quiet, dedicated workspace at home Your Superpowers • NetSuite expertise • Advanced Excel capabilities • Payment processing systems knowledge • Financial documentation management You should apply if… • You thrive in a fast-paced, luxury retail environment • You're passionate about maintaining financial accuracy and integrity • You enjoy problem-solving and process improvement • You're naturally detail-oriented and organized • You value clear communication and professional relationships • You're comfortable working with international transactions and vendors What to expect...
